Internship report – My experience at Spectos

Hieu Hoang

Wanted: dynamic company with international relations

In August 2021 I completed a four-week-internship at Spectos in Dresden as part of my International Management study program. I worked on different tasks in the areas of project management and marketing. My intention with this internship was to gain experience in an international company, but also to help me decide about my further studies and career.

From D like Delivery Performance to T like Transit Time Measurement – My various tasks as an intern

Project Management

During my internship, I learned about various projects that Spectos is working on with clients from different industries and how the solutions help customers improve their service quality. I was given an introduction to the Spectos Real-Time Performance Management™ Platform, which is the core product of Spectos. I was shown the requirements of preparing live trackers to measure postal operations, and I was given an introduction to the Support Center. Among my tasks for project management I took part in programming and validating online questionnaires for customer satisfaction– and employee surveys.

Marketing

In the field of marketing I developed competitor analyses for different industries during the four weeks. In the postal and logistics industry I took a closer look at addressed and unaddressed delivery control.

Patient surveys can be conducted via multiple channels

I also took a look at the competitive landscape for the healthcare industry and available solutions for patient surveys. Due to my previously gained knowledge of some of the ongoing Spectos projects, I already had a basic understanding of the different topics which helped me throughout my research.

Supported by the marketing team I wrote my first blogpost on Cold Chain Monitoring, and I created some social media posts for LinkedIn. I also gained some practical skills in the editing programs Photoshop and Adobe Spark, where I had been an absolute beginner before.

Lettershop

Especially during my first internship week I was confronted with terms like “transit time” and “delivery performance”. But luckily I was able to find out more about transit time measurements and how they are carried out in Spectos Lettershop. For some days I supported the team with the production of test letters for various postal operators, for example Swiss Post and bpost.

The test letter get scanned, provided with transponders and finally packed

Spectos also uses RFID technology for transit time measurements. Part of my tasks in the Lettershop was the preparation of transponders and the scanning and packing of test letters. Subsequently, the production needed to be controlled, where I helped the employees with their respective projects.

Lessons learned and takeaways for my future

As you can read in my internship report, my time at Spectos GmbH has certainly exceeded my expectations. I gained experience in the vocational world that will positively impact my studies as well as my personal development. By researching information for the blog posts in marketing I gathered a lot of knowledge about different topics in the postal and logistics industry which have awoken my interest. Hence I am looking forward to focusing on the fields of Supply Chain Management and Marketing in my further studies.
From the very first day I’ve been included into the team at Spectos through the open and communicative way of all employees. Especially my supervisors have helped me a lot with my questions and took their time to make my internship as educational as possible.

During the four weeks I got a thoroughly positive impression of Spectos as an employer and will definitely recommend the company in the future. Thanks to the good cooperation I am happy to continue supporting Spectos with assignments for marketing and project management. You can see some first results of my work in my blogpost why postal operators need transit time measurements.
